1. Overview
With netNACCS package software, you can obtain text and PDF files of export customs permits and import customs permits.
By uploading export customs permit text files to the TradeWaltz Export Customs Permit Pool, the information can be listed, searched, and managed in a ledger. In the same way, import customs permit text files can be uploaded to TradeWaltz's Import Customs Permit Pool to enable listing, searching, and ledger management of import customs permit information.
Below is an image of the [Import Customs Permit List] screen, where you can search and reference import permit information registered in the import permit pool.
Export Customs Permit information registered in the Export Customs Permit Pool, and import permit information registered in the Import Customs Permit Pool can be linked and managed with various files attached to transactions, flows, processes, and processes.

2. Preparation for using the Customs Permit Pool Features
Registration for the Export Customs Permit Pool and Import Customs Permit Pool can be done in the following three ways.
- Upload files via TradeWaltz screen operation.
- Upload files using the tool for automatic registration of customs permit information
- Upload files via TradeWaltz API

In addition, the NACCS section must be set in the Organization Master in advance when registering the Export Customs Permit Pool or Import Customs Permit Pool.

3. Linking the Customs Permit Pool to the Store Customs Permit process
The Export Customs Permit Pool can be linked to the [Store Export Customs Permit]] process and the Import Customs Permit Pool can be linked to the [Store Import Customs Permit] process.
There are three types of linking methods as follows.
- Using TradeWaltz's [Store Export Customs Permit] process screen or [Store Import Customs Permit] process screen.
- Using TradeWaltz's automatic linking feature
- Using TradeWaltz API

4. Conditions of Automatic Linking Feature
Please confirm the following prerequisites before using the automatic linking feature.
- The scope of automatic linkage covers pool registration information for which the "Declaration Date” is within one year. For example, if data is registered in the Export Customs Permit Pool on September 9, 2024, with a “Declaration Date” of April 1, 2023, the registration data will be excluded from the automatic linkage.
- Please refer to the following for the matching conditions for automatic linking of the Export Customs Permit Pool and the [Store Export Customs Permit] process and the Import Customs Permit Pool and the [Store Import Customs Permit] process.
- NACCS code registered in the import and export declaration (Corporate Number or Customs issued importer/exporter code ) must be set in the Company Master in advance when registering the Export Customs Permit Pool or Import Customs Permit Pool. For details on how to set up NACCS code, please contact our Customer Success.
- The [Store Export Customs Permit] process or [Store Import Customs Permit] process must be pre-registered before registration of the Export Customs Permit Pool or Import Customs Permit Pool.
- [Store Export Customs Permit] process or [Store Import Customs Permit] process must be in “Not Started” status or “Input in Progress” status.
- After registering an Export Customs Permit Pool or Import Customs Permit Pool, it takes a few minutes for the results of automatic linking to be reflected on the screen.
5. Notification Feature of Registration Results for Customs Permit Pool
Users can receive by email registration results in the Export Customs Permit Pool and Import Customs Permit Pool to any email address registered in advance. Notified email can be registered in each Company Master. Up to 100 email addresses can be registered for notification per company. Please contact our Customer Success Representative for information on how to register.

Below is a sample notification email from the import permit pool registration.
Things to keep in mind:
- Clicking the [See Pool Data] link in the body of the email will take you to the [Export Customs Permit List] screen or [Import Customs Permit List] screen. In this case, you will need to sign in to TradeWaltz. Users who cannot sign in to TradeWaltz will not be able to see the [Export Customs Permit List] screen or [Import Customs Permit List] screen even if they click on the link.
- The notification email address can also be an email address not set as the TradeWaltz user master.
- The notification email settings are the same for the Export Customs Permit Pool and the Import Customs Permit Pool. It is not possible to set separate notification email addresses for the Export Customs Permit Pool and the Import Customs Permit Pool.
6. Feature of Download Registration History for the Customs Permit Pool
Click the [History Download] button on the [Export Customs Permit List] screen or [Import Customs Permit List] screen to download the past registration history as a TSV file.
Below is the TSV file download procedure for the registration history from the Import Customs Permit Pool.
Things to keep in mind:
- For the registration history before the release of this feature, some of the values in the TSV file output are restricted. (The value of the declaration date is not displayed in the TSV file.)
- The maximum number of registrations to be output in one TSV file download is 10,000. If the limit is exceeded, an error message will be displayed. In this case, please narrow down the date range further and perform the download.
